Submission & review — what we do with your work.
This is the path your entry takes from the moment you start the verification form until your work sits in the review queue. We describe each step in the order it happens, so you know exactly where you are.
1. Verify your email
On the verification page you enter your full name, email and country. We send a one-time link to that address. Clicking it marks your participant record as verified — uploads stay blocked until that happens.
- The link expires after a fixed window; request a new one if it does.
- Each link can be used once.
- Verification is bot-protected with Cloudflare Turnstile.
2. Fill in the submission form
You provide:
- Title (max 160 characters).
- Category: Visual art, Video, Writing, or Concepts / mixed media.
- Portfolio URL (optional).
- Description (minimum 30 characters — what the work is about).
- AI disclosure: did you use AI in any form? If yes, describe the free creative choices you made — that is the copyright-grade evidence the work is your own.
3. Upload your files
You upload one main file and, optionally, one supporting file.
- Main file: JPG, PNG, WEBP, AVIF, PDF, or MP4.
- Supporting file: PDF only.
- Each file is stored under a generated name; the original name is kept for reference.
- We compute a SHA-256 fingerprint of every file and email it back to you as proof.
4. Sign the four declarations
Before submitting you tick:
- You own the work or control the rights to submit it.
- You are the author and the free creative choices are yours — not solely an AI's.
- You accept the prize terms and understand we review before publication.
- The work contains no prohibited, unsafe or unlawful material.
5. Quick safety check
Between the moment you press upload and the confirmation arriving, your file passes a short safety check — we scan for viruses and other harmful code so nothing dangerous reaches our reviewers or the gallery. It usually takes a few seconds and you do not see anything special on screen.
If something is wrong, the form shows a clear message and your work is not stored. In practice this is rare and usually means your editor produced an unusual export — a fresh save from the original tool fixes it. If it keeps failing, email prize@conveneo.eu and we will help.
6. Confirmation email
When the submission is accepted into the queue we send you a confirmation that contains:
- A unique reference code (your submission code).
- The title you entered.
- The original file name(s) and their SHA-256 fingerprints.
Keep this email. The SHA-256 fingerprint is a digital signature of the exact file we received — think of it as a tamper-proof receipt. You don't need to use it for anything; just hold on to the email until the prize is awarded.
7. Status after submission
Internally your entry moves through these states:
EMAIL_PENDING → VERIFIED — once your email is confirmed.DRAFT → SUBMITTED — when you press the submit button.PENDING_REVIEW — waiting for a Conveneo moderator.APPROVED, REJECTED, FLAGGED, or NEEDS_FOLLOW_UP — the decision (see how decisions are made).
You only need to remember two things: submitted means we have it, and decision means a real person has looked at it.
