How decisions are made.

Every submission is reviewed by a real Conveneo moderator. We do not auto-approve or auto-reject based on the AI disclosure — disclosure is information for the reviewer, not a verdict. This page explains what gets checked and what each outcome means.

The four checks

A moderator evaluates each entry against four points, in this order:

Safety & lawfulness. No prohibited, unsafe or unlawful material. Hate, sexual content involving minors, doxxing, malware, and similar are an immediate reject.
Rights & ownership. You either own the work or control the rights to submit it. Obvious uses of third-party material without basis (a film still, another artist's painting, copyrighted music in a video) are rejected.
Authorship. The free creative choices in the work must be yours. If you used AI, your AI Usage Notes are the evidence — what you chose, combined, reworked or rejected. A prompt typed once into a model, with no further choice-making, is not enough.
Category fit. The work matches one of the four categories: Visual art, Video, Writing, or Concepts / mixed media.

We do not score on subjective taste at the review stage — that is the jury's job at the end. Review is a gatekeeper for the gallery, not a verdict on quality.

Outcome: Approved

The entry passes the four checks. You receive an "Submission approved" email with your reference code. The entry is now eligible for the jury and may be published to the public gallery.

Gallery publication is a separate decision and requires explicit admin approval — approval here does not auto-publish.

Outcome: Rejected

The entry fails one of the four checks. You receive a "Submission update" email with your reference code. The entry does not move forward. The internal reason is recorded but, by default, we do not publish reason codes back to entrants.

Outcome: Flagged

Something needs a second look — usually a borderline rights or safety question. The entry pauses; you may or may not receive an email yet, depending on what we find. Most flagged entries end up either approved or rejected within a short follow-up window.

Outcome: Needs follow-up

We need something from you — typically more detail on your AI Usage Notes or proof of rights. If this applies, we contact you on the email you verified. Reply on that thread and we will continue from there.

Who decides

Reviews are done by Conveneo admins and moderators (two roles in the platform). Every decision is logged: which admin, which previous status, which new status, and a free note. That log exists so we can be consistent across reviewers and accountable to entrants.

The final jury — who picks the winner announced on 1 November 2026 — works from the pool of approved entries. The review stage does not pick winners; it only decides which entries the jury gets to see.
