Limits, privacy & rights.
What you can and cannot submit, what the AI rule actually says, who sees your data, and how to ask us to remove it. The full legal version is in the terms PDFs at the bottom of every page — this is the short, honest explanation.
What is not allowed
- Unsafe, unlawful, or rights-infringing material.
- Sexual content involving minors — immediate reject and reporting.
- Hate, harassment, doxxing, or incitement.
- Malware or active exploits embedded in files.
- Work you do not own or have rights to submit — including third-party imagery, copyrighted music in video, or another artist's output passed off as yours.
The AI rule
AI-assisted work is allowed. Pure AI output without your own creative choices is not. The line is the same one copyright law draws: your free creative choices must shape the result.
If you used AI, write that in the AI Usage Notes. Be concrete: what did you select, combine, rework, or reject? Vague answers ("I used Midjourney") will usually trigger a follow-up request.
File limits
- One main file per submission, one optional supporting file.
- Main: JPG, PNG, WEBP, AVIF, PDF, MP4.
- Supporting: PDF only.
- Maximum of 2 submissions per verified participant.
- All files are virus-scanned automatically before review.
Who sees your work
- Conveneo admins and moderators see all submitted material.
- The jury sees approved entries.
- The public only sees entries that are both approved and explicitly published to the gallery.
- Your private email, full name and country are never shown in the gallery — only the public display name you authorize.
Your data & rights
We store the data needed to run the prize: your participant record (name, email, country), your verification tokens, your submission files and their SHA-256 fingerprints, every email we sent you, and the moderation log of your entry.
- You keep ownership of your work and its underlying rights. Submitting does not transfer copyright.
- We use your email only for verification, submission communication, and the prize result. Not for marketing.
- Deletion / GDPR. You can ask us to delete your participant record and submissions; reply to any platform email or use the contact in the footer. We remove the data unless we have a legal reason to keep it (e.g. an active dispute).
- Withdrawal. You can withdraw an entry before publication. After gallery publication we can hide or remove it, but archived audit records remain.
